Have a Crisis Communication Plan in Place
 

Every business should have a crisis communication strategy for communicating with the media. Ideally, a crisis media spokesperson with crisis media training will be designated as the company representative. It is imperative that these crisis media spokespeople be good representatives in both print and electronic media. Taking the time to select the right person to talk to the media can make or break crisis communications.

Preparing talking points is critical during a crisis media event. Key crisis communication messages should be determined and distributed to the relevant company representatives. These crisis communication messages should be internalized and practiced by the person being interviewed before any interaction with the media takes place. It is also highly beneficial for all crisis media spokespeople to go through media training, where participants are actually interviewed and videotaped to improve performance.

Businesses should also have a plan in place to change any online crisis communication messaging during a crisis. At the very least, information regarding the crisis should be made available on the company website. Many corporations even have website templates ready for publication in the event of a media situation. Don't wait until a crisis situation occurs to prepare new web pages. These pages should already exist on the server and information should just be copied and pasted into the existing templates.

As for social media, a contingency plan should be developed for communications using Web 2.0 technology. While having a spokesperson and changing the company website are critical, businesses should not overlook the importance of proper messaging through social media outlets. Also, companies should try not to engage in social media for the first time during a crisis situation. Make sure there are established social media outlets already being used where critical crisis communication message can be distributed.

All companies should have a crisis communication plan in place. You don't want to find yourself in the middle of a media storm without a plan of action. Take the time to develop the right strategy now to avoid additional problems later.
